1 · Who we are

This website (polluxco.com) is operated by Pollux Co (Pty) Ltd ("Pollux", "we", "us", "our"), a private company registered in South Africa. We are the "responsible party" for the personal information described in this policy, as that term is defined in South Africa's Protection of Personal Information Act, 2013 (POPIA).

2 · What information we collect

Information you give us directly. When you submit our contact form, we collect your name, email address, firm/company name, role, and whatever you write in the message field. We collect this so we can respond to your enquiry.

Information collected automatically. Like most websites, ours uses cookies and similar technologies (via Google Analytics) to understand how visitors use the site — pages viewed, time on page, general location at city/country level, device and browser type, and how you arrived here. This is aggregate, analytics-level information, not an individual profile.

Information collected by third-party tools we use. Our contact form uses Google reCAPTCHA to block spam and automated abuse — this involves Google setting its own cookies and processing some information under Google's own privacy policy. If you click through to book a meeting, you leave our site and land on Calendly, a separate service with its own privacy policy — anything you give Calendly at that point is collected by Calendly directly, not by us.

3 · Why we collect it

• To respond to enquiries submitted through the contact form
• To understand how the site is used, so we can improve it
• To protect the site and the contact form from spam and abuse
• To meet legal and regulatory obligations where applicable

We do not sell your personal information. Ever.

4 · Cookies

Cookies on this site fall into two categories:

• Strictly necessary — e.g. reCAPTCHA, which exists to keep the contact form free of spam. These run regardless of consent, because the site's basic security depends on them.
• Analytics — Google Analytics, which only runs once you've given consent via the cookie banner. You can withdraw consent at any time by clearing your cookies or changing your choice in the banner.

5 · Who we share information with

We share information only with the service providers that help us run this site and respond to enquiries: Google (Analytics and reCAPTCHA), Calendly (if you use the booking link), and Google Workspace (our own business email, where contact-form enquiries land). We do not sell, rent, or otherwise trade your information to anyone else.

6 · International transfers

Some of the providers above (Google, Calendly) process data on servers outside South Africa, including in the United States and the European Union. Where this happens, we rely on those providers' own data protection safeguards and standard contractual protections to ensure your information continues to receive an appropriate level of protection, as required under POPIA.

7 · How long we keep it

We keep contact-form enquiries for as long as reasonably necessary to respond to you and maintain a record of the engagement, then delete them when they're no longer needed. Analytics data is retained according to Google Analytics' standard retention settings.

8 · Your rights

Under POPIA, you have the right to ask what personal information we hold about you, ask us to correct or update it, ask us to delete it, object to how we're using it, and lodge a complaint with the Information Regulator (South Africa) if you believe we've handled your information unlawfully. 9 · Security

We take reasonable technical and organisational steps to protect the information we hold, including using reputable, security-conscious third-party providers for anything beyond simple email. No online system is 100% secure, and we can't guarantee absolute security, but we treat this seriously.

10 · Children

This site is intended for business use by professional services firms and their staff. We do not knowingly collect personal information from children.

11 · Changes to this policy

We may update this policy from time to time. The "last updated" date at the top will always reflect the most recent version.
